How to migrate Synqup to a new server

Written by Maxime

Moving your accounting server? Synqup does not need to be transferred. You uninstall it on the old server and install it again on the new one. Documents waiting in Billtobox are kept until the new installation picks them up.

1. Uninstall Synqup on the old server

Uninstall Synqup on the old server first. Run unins000.exe in the installation folder, by default C:\Program Files (x86)\Synqup.

From that moment, no application fetches documents for your clients any more. Everything on the Billtobox side stays on hold: processed documents keep the accounting status to be fetched until a Synqup installation comes online and requests them. Nothing is lost.

2. Check the folder paths

The folders where Synqup delivers documents on the new server must be the same as on the old server. These are the access paths configured for your accounting package in the Console, for example one path each for sales invoices, purchase invoices and bank statements.

  • Paths stay the same: no action needed, continue with step 3.

  • Paths change: contact [email protected] before you install on the new server, and give us the new paths. We adjust the configuration on our side so that documents land in the right folders straight away.

Note: Also let us know if the number of active files on Billtobox changes with the migration, for example when only some of your clients move to the new server.

3. Install Synqup on the new server

  1. Go to Connecting your accounting package to the Console with Synqup and skip straight to section 3. Install Synqup on your server. You find the requirements (user rights, firewall rules) and the download link there.

  2. Run the installation and open the Synqup authenticator.

  3. Log in with a user who is an administrator on the Console of the accounting firm concerned. If you are a self-booker (a company that uses Synqup for its own accounting), log in with your main Billtobox user.

As soon as the authenticator is logged in, Synqup fetches the documents that were waiting.

Tip: After the migration, check for a few days that processed documents arrive in the folders on the new server and do not go into error on Billtobox. Read How to check if I'm receiving my clients' documents through Synqup?

FAQ

Do I lose documents during the migration?

No. While no Synqup installation is active, Billtobox keeps the processed documents on hold. They are delivered as soon as the new installation logs in.

Can I install Synqup on the new server before uninstalling it on the old one?

Uninstall the old one first. Two active installations for the same Console would both try to fetch the same documents.

Which user do I log in with on the Synqup authenticator?

An administrator of the Console for which Synqup fetches documents. Self-bookers log in with their main Billtobox user.

My documents go into error on Billtobox after the migration. What should I do?

Check the folder paths in the Console configuration against the folders on the new server. If they differ, contact [email protected]. See also Synqup: Customers receive an "error" accounting status on Billtobox.
